Job Summary
We are looking for a highly organized and detail-oriented HR Assistant to join our team. In this role, you will support the daily operations of the HR department, assisting with administrative tasks, recruitment processes, employee onboarding, and maintaining accurate HR records. The ideal candidate is an excellent communicator who handles sensitive information with strict confidentiality and thrives in a fast-paced environment.
Key Responsibilities
1. Administrative Support & Record Management
- Maintain and update both digital and physical employee records, ensuring all documentation is accurate, complete, and compliant with labor laws.
- Update internal databases (HRIS) with new employee information, including contact details and employment forms.
- Assist in preparing reports and presentations for HR metrics.
- Handle general HR administrative tasks, including answering emails, managing phone calls, and sorting mail.
2. Recruitment & Applicant Tracking
- Assist in creating and posting job advertisements on various job boards, career pages, and social media platforms.
- Screen initial resumes and applications to identify qualified candidates.
- Schedule interviews, coordinate communication between candidates and hiring managers, and send out calendar invitations.
- Conduct reference checks and assist with background screening processes.
3. Onboarding & Offboarding
- Prepare onboarding kits and welcome materials for new hires.
- Assist in conducting new employee orientations, explaining company policies, and ensuring all required employment paperwork is completed.
- Support the offboarding process by scheduling exit interviews and ensuring the return of company property.
4. Employee Relations & Support
- Serve as the first point of contact for employees regarding general HR inquiries, such as leave policies, benefits, and payroll questions.
- Assist in organizing employee engagement events, team-building activities, and training sessions.
- Help distribute internal communications regarding HR policies and company updates.
Qualifications & Requirements
- Education: Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent practical experience).
- Experience: 1–2 years of proven experience as an HR Assistant, Staff Assistant, or relevant administrative role.
Technical Skills:
- Familiarity with Human Resources Information Systems (HRIS) and Applicant Tracking Systems (ATS).
- Proficiency in standard office software (e.g., Google Workspace, Microsoft Office).
Soft Skills:
- Strong interpersonal and communication skills, both written and verbal.
- High ethical standards and the ability to handle confidential information with discretion.
- Excellent organizational and time-management skills with a strong attention to detail.
